Guestlist and complimentary tickets

The Guestlist tab allows organisation Admins to issue complimentary tickets for press, performers, partners, staff, and other invited attendees. These tickets use the same QR validation as paid tickets and count against the selected ticket type's inventory after they are issued.

Add guests

Open an event and select Guestlist. Guests can be added individually or imported from a CSV file.

For each guest, provide a first name, last name, ticket type, and quantity. One guest can receive between 1 and 20 tickets. Email is optional. When a valid email address is provided and delivery is enabled, Tixi Ticket sends the complimentary tickets to that address. If the address is omitted or delivery is disabled, no email is sent.

CSV imports accept up to 200 guests at a time. The file must contain first- and last-name columns and can also include email and quantity. Review any validation errors before submitting the import.

Understand draft and published behavior

For a draft event, guest entries remain pending. They do not create orders, issue tickets, consume inventory, or send email immediately. On publication, Tixi Ticket converts all pending entries into complimentary orders, issues tickets, updates inventory and statistics, and sends the requested emails.

Capacity is checked while managing pending entries and again at publication. If the selected ticket types do not have sufficient inventory, publication stops and the pending entries remain unchanged. A draft event can hold up to 200 pending guest entries.

For a published event, adding a guest creates a zero-amount complimentary order and its tickets immediately. The selected quantity is then removed from available inventory.

Manage the Guestlist

Use search and status filters to locate guests by name or email. The list shows ticket quantity and check-in count and can be exported as CSV.

Admins can correct guest details, resend an email when an address is available, or select Revoke guest. Revocation voids the associated tickets, makes their QR codes invalid, and returns released capacity to inventory. Revoked entries remain visible so the organisation retains an accurate operational record.
