Invite team members

Updated

Each colleague should access the organisation through an individual account. Shared credentials make access difficult to review and should not be used for operational or administrative work.

Understand the roles

The organisation provides two roles:

  • Admin can manage administrative areas such as events, publication, refunds, payouts, organisation settings, and team membership.
  • Member can view organisation information and use permitted operational access, including the scanner, without receiving the Admin-only controls.

Assign the least-privileged role that supports the person's responsibilities. Staff who only need operational access generally do not require the Admin role.

Send an invitation

Open Settings → Organisation → Members and select the option to invite a member. Enter the person's email address, choose the required role, and send the invitation.

The recipient receives an email containing an invitation link. They must accept the invitation and sign in with their own account before the organisation becomes available to them. Until acceptance, the invitation remains listed as pending.

Confirm the address before sending. An organisation can contain customer, event, and financial information, so invitations should only be sent to an account controlled by the intended recipient.

Manage pending and active access

An Admin can revoke a pending invitation if it was sent incorrectly or is no longer required. Admins can also change an active member's role or remove a member when their responsibilities change. Founder, current-user, and last-admin safeguards may restrict particular changes so that the organisation is not left without appropriate control.

Review membership before major events and after a contractor or temporary staff member finishes their work. Remove access promptly when it is no longer required, and confirm that at least one authorised Admin remains available.

Each member should also review the active sessions and sign-in methods on their personal Security page. Removing a member ends organisation access; it does not replace the need to secure a device or personal account that may have been compromised.
